The vast majority of searches that users require may be carried out by this quick-search function, which shows how elaborately the system has been designed.


Transparency and attractive design are characteristic to the entire system. The use of the software is very easy to learn, it requires only basic IT skills.

In addition to ease of use; the software also satisfies the criterion of rapid data input possibility. The software features several functions that help the user complete his data recording task as quickly and easily as possbile. Some of these are:

Integrated system - central content management

DMSone is capable of storing and managing various documents in an integrated system, facilitating the trace of an entire circle of documents.

The system allows for the reception, storage and management of documents of any formats and sizes, including:
  • "traditional", paper based documents;

  • attached files and e-mails that may even contain electronic signatures;

  • documents arriving from portals, webpages or the state customer service portal, completed electronic forms;

  • management of outputs coming from fax servers;

  • paper based or electronically stored documents received personally at the customer service desk;

  • SMS messages received in large quantities;

  • management of printed outputs within the company (e.g. automatic archiving of electronic pictures of printed documents).

The storage of documents in a central, integrated system allows us for example, to file or, if necessary, immediately retrieve all documents related to our projects or our orders, completed or in progress; regardless of size or format.


Fully comprehensive document management

DMSone is capable of tracing the entire life cycle of documents, from arrival through registry until the placement in the filing cabinet and destruction. Thanks to the modular structure of the system, it can be flexibly adjusted according to the size of the organisation, the number of users and the quantity of incoming and outgoing documents.

The system satisfies the requirements of companies of all sizes; from small companies with a staff of 20-30, to corporations and institutions with several sites and hundreds of users.

In addition to traditional document management tasks (arrival, opening, signature-task allocation, registry, filing, forwarding, expediting, posting, destroying), DMSone also provides a solution to rare problems occurring in exceptional cases, such as:
  • erroneous addressing or opening;

  • consignments sent to the hand of the addressee;

  • management of classified, confidential and secret documents;

DMSone supports electronic administration, and can therefore also manage electronic signatures. The electronic signature programme helps to implement safe electronic administration. The electronic signature function allows for electronic documents in the DMSone system to be digitally signed and arranged in digital file folders.

System requirements

The system is a so-called intranet application; it uses a browser programme as its operating environment. Thanks to its technological parameters it is characterised by low hardware requirement. There is no need for client side installation. It is not platform dependent; and will therefore operate perfectly even in a mixed network client-environment. Since data and information are stored on the server; a very high level of data security may be achieved through the establishment of an appropriate authority policy system. Standard SQL database management systems serve as the bases of the application; this facilitates the conversion of data for any purpose, at a later stage.
